Information You Provide Directly

When you register for membership, sign up for our email list, register for a race, purchase products from our store, or contact us, you may provide: your name, email address, mailing address, phone number, date of birth, emergency contact information, and payment details. Payment information is processed by our third-party providers and is not stored on our servers.

Information Collected Automatically

When you visit our website, we and our service providers may automatically collect certain technical information, including: your IP address, browser type and version, pages visited, time spent on pages, referring URLs, and device information. This is collected through Cloudflare's analytics and infrastructure services.

Information You Choose to Share With the Team

Some features are designed to be seen by others. If you submit your race schedule through the race plans form, your name and the races you list are published on our public Race Plans page. Your member directory profile is visible to other logged-in members. Anything you post in the RTB Discord server is visible to other members of that server.

2. How We Use Your Information

We use the information we collect to:

We do not sell your personal information to third parties.

3. How We Share Your Information

We share your information only as necessary to operate our club and services:

Service Providers. We use the following third-party services to operate our club. Each receives only the information it needs to do its job:

• ✓MembershipWorks — membership accounts, billing, the member directory, and member-only pages.
• ✓Stripe — processes card payments for memberships and store orders. Your card details go directly to Stripe; we never see or store your full card number.
• ✓Snipcart — checkout for our online store (drop-in passes, training plans, parking passes, and other items), including your name, email, address, and order details.
• ✓SendGrid — delivers store order confirmation emails.
• ✓Washington State Department of Revenue — for items taxed at your address, your street address, city, and ZIP code are sent to the Department's public sales tax rate lookup to calculate the correct tax. No other information is sent.
• ✓RunSignup — Open Water Wednesdays and race registration.
• ✓MailerLite — our email newsletter.
• ✓Web3Forms — delivers messages sent through our contact form.
• ✓Google — website fonts, our embedded team calendar, the race plans form and sheet, and reCAPTCHA spam protection on the membership signup form.
• ✓Calendly — scheduling new member welcome calls.
• ✓TrainingPeaks — delivering custom training plans; your name and email are used to connect you to your coach.
• ✓Discord — our team community server.
• ✓Cloudflare — website hosting, security, and cookie-free analytics.

These providers handle your information under their own privacy policies and only as needed to provide their services to us.

Club Certification Bodies. As a USA Triathlon Gold Club, IRONMAN TriClub, U.S. Masters Swimming Club, and USA Cycling Club, we may report aggregate membership data to these organizations as required for club certification. We do not share individual member data beyond what is required for registration and certification purposes.

Race Operations. For races we produce (Lake Meridian, Black Diamond, and Bonney Lake triathlons), participant information may be shared with timing companies, USA Triathlon, and other race officials as necessary to conduct the event safely and in compliance with sanctioning requirements.

Legal Requirements. We may disclose your information if required by law, court order, or government request, or to protect the rights, safety, or property of our club, members, or the public.

4. Cookies & Analytics

Our website uses Cloudflare's privacy-focused analytics, which do not use cookies or track individual users across sites. Some features rely on functional cookies or browser storage set by the services that power them: MembershipWorks keeps you signed in to your member account, Snipcart remembers your shopping cart, and Google sets cookies for reCAPTCHA on the signup form and for the embedded team calendar. We do not use advertising cookies.

Third-party services we link to — including RunSignup and social platforms — may use their own cookies when you visit those sites. Their use is governed by their respective privacy policies.

5. Email Communications

We send club newsletters, training updates, race announcements, and promotional emails through MailerLite. You will only receive marketing emails if you have opted in — either during membership registration or through a signup form on our website.

You can unsubscribe from marketing emails at any time using the unsubscribe link in any email we send. Note that transactional emails (such as membership confirmations, race registration receipts, and order confirmations) are not marketing communications and will be sent regardless of your marketing preferences.

6. Data Retention

We retain your personal information for as long as your membership is active and for a reasonable period afterward to fulfill the purposes described in this policy, comply with legal obligations, and resolve disputes. Financial records are retained in accordance with applicable tax and accounting requirements.

7. Your Rights & Choices

You have the right to access, correct, or request deletion of your personal information held by RTB. To make a request, contact us at [email protected]. We will respond within 30 days.

For data held by third-party platforms, you may need to contact those platforms directly or manage your preferences through their interfaces. We will assist where we are able.

8. Children's Privacy

Our website and online services are not directed to children under 13. We do not knowingly collect personal information from children under 13. If a parent or guardian believes their child has provided us with personal information, please contact us and we will delete it. Athletes under 18 who participate in RTB events or training must have a parent or guardian complete registration and waiver requirements on their behalf.

9. Security

We take reasonable steps to protect your information, including using HTTPS for all web traffic and relying on established third-party platforms for payment processing, membership management, and email. No method of transmission or storage is 100% secure. If you believe your information has been compromised, contact us immediately at [email protected].

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For material changes, we will notify active members by email. Continued use of our website or services after changes are posted constitutes your acceptance of the updated policy.
