Service Providers. We use third-party services to operate our club, including RunSignup (membership and race registration), our email platform, our online store, and our website hosting provider. These providers access your information only as needed to perform services on our behalf and are required to protect it.

Club Certification Bodies. As a USA Triathlon Gold Club, IRONMAN TriClub, U.S. Masters Swimming Club, and USA Cycling Club, we may report aggregate membership data to these organizations as required for club certification. We do not share individual member data beyond what is required for registration and certification purposes.

Race Operations. For races we produce (Lake Meridian, Black Diamond, and Bonney Lake triathlons), participant information may be shared with timing companies, USA Triathlon, and other race officials as necessary to conduct the event safely and in compliance with sanctioning requirements.

Legal Requirements. We may disclose your information if required by law, court order, or government request, or to protect the rights, safety, or property of our club, members, or the public.

4. Cookies & Analytics

Our website uses privacy-focused analytics that do not use cookies or track individual users across sites. We may use functional cookies to maintain basic site functionality.

Third-party services we link to — including RunSignup and social platforms — may use their own cookies when you visit those sites. Their use is governed by their respective privacy policies.

We send club newsletters, training updates, race announcements, and promotional emails through our email platform. You will only receive marketing emails if you have opted in — either during membership registration or through a signup form on our website.

Note that transactional emails (such as membership confirmations, race registration receipts, and order confirmations) are not marketing communications and will be sent regardless of your marketing preferences.

We retain your personal information for as long as your membership is active and for a reasonable period afterward to fulfill the purposes described in this policy, comply with legal obligations, and resolve disputes. Financial records are retained in accordance with applicable tax and accounting requirements.

For data held by third-party platforms, you may need to contact those platforms directly or manage your preferences through their interfaces. We will assist where we are able.

8. Children's Privacy

Our website and online services are not directed to children under 13. We do not knowingly collect personal information from children under 13. If a parent or guardian believes their child has provided us with personal information, please contact us and we will delete it. Athletes under 18 who participate in RTB events or training must have a parent or guardian complete registration and waiver requirements on their behalf.

We take reasonable steps to protect your information, including using HTTPS for all web traffic and relying on established third-party platforms for payment processing, membership management, and email.
